Not so long ago...

It wasn't that long ago that KAM and QHSE manager had to make do with a paper handbook created in Word. The registrations were done in Excel, Word or on paper. These handbooks were mainly set up around a standard/certification that the company had to obtain and did not have much support for the day-to-day business within the company. The role of the KAM and QHSE manager was therefore one of pushing and pulling to get and keep the whole thing rigged. This process may or may not have been completed with the help of external advisors. After implementation and throughout the rest of the year, the KAM and QHSE manager had to fight quite a solo battle to get all registrations done and executed on time. Let's not talk about how easy it was to draw the right conclusions so that the management also had sufficient input with the management review to properly outline the new actions and improvements in the management assessment document.

Conclusion: The KAM and QHSE manager was a Don Quixote who had to pull the bandwagon alone alone and often saw not too happy colleagues around him and also received not too happy looks from the management/management.

Age of digitization

In 2017, The Economist magazine reported that the world's most valuable commodity is no longer oil but data. (Economist 2017) Due to the increasing digitization of various processes in society, an enormous amount of digitized data is consciously or unconsciously created. (Big data) Companies are increasingly analyzing this mountain of data to recognize patterns more quickly and sharpen business models and processes to increase turnover and efficiency (profit).

In addition to digitizing for efficiency in data analysis, automation is also underway within this digitization. How do you ensure that automation keeps you on track and that you can easily share your information more widely and allow it to be carried within your organization. Much has also been developed and possible at this point in recent years. Once these developments in digitization and automation have taken place, how different can the role of the KAM & QHSS manager be?

Opportunities for the KAM and QHSE manager in 2024

We think that with current technologies, it is possible that the role of the KAM and QHSE manager can drastically change for the better. Most companies often have everything in place for their primary process. After all, this is the basis on which the company once started and owes its raison d'être. However, with the company's success and the associated growth, this meant that, in addition to the primary process, more time and attention was required for the secondary processes. This includes:

  • Handing out work equipment and its collection
  • Inspection of work equipment
  • Employee and resource certificates
  • Laws and regulations that change
  • Environmental aspects register
  • Various consultation structures and actions and resulting decisions
  • Report incidents
  • RI&E
  • LMRA
  • Reporting dangerous situations
  • Toolboxes
  • Various delivery or test protocols associated with the various products and
  • services
  • Certifications and standards requested by customers

How nice is it then that both this documentation and registration can easily be digitized in one central location. Without programmers but by the company itself in a way that grows with the organization.
Certification is therefore no longer the primary activity of the KAM and QHSE manager. That is helping colleagues and informing the board through a well-designed management system. The certificate is just confirmation that you are doing well.

This makes this information or registration immediately available to everyone in the organization. If necessary, you can then quickly register on your mobile so that you are satisfied with your colleague, the KAM and QHSE manager. And it will be even more fun if your colleague, the KAM and QHSE manager, has also made sure that you received a notification (automatically) to make that relevant registration.

Today, it is quite possible to organize and manage these types of information and registration flows on a platform. The great thing about this is that the data you generate together also ensures that the data can be analyzed in a simple way in real time. Of course, you can then visualize this in beautiful graphs so that you can easily make trend analyses, for example.

In short, colleagues who no longer have to search for descriptions of processes, documents or registration forms but simply always have this at hand. Getting your tasks done on time because there are reports and you can carry the work with many hands, and this also ensures timely updating and creating joint ownership. And of course, there is nothing better for management than being able to see and monitor up to date where things are going, how accidents are prevented and where improvements and failure costs can be achieved. This is what makes the role of the KAM and QHSE manager so different! He can help more with connecting and coaching the various layers and departments of the organization instead of having to run after everything to get the job done, but never quite as desired, because whether the resources are not there, the data is not there to support anything, the budget is not there or an expensive programmer needs to be found.
