The modern quality manager is constantly looking for opportunities to improve his or her organization. One step better every day and a fraction more efficient will eventually lead to quality gains and a better competitive position.

The usefulness of notifications

An inspired and experienced quality or risk professional can really come up with some improvements himself, but the best source of information and inspiration is still their own organization. Your colleagues know their own work best and are the first to see opportunities to improve. You collect and process all that information in your KMS with an effective notification system. Collecting reports isn't difficult, but processing them effectively is another story. Without a management system, you quickly drown in the work that comes with it. In the end, notifications stick around and you get little done. Very motivating for your colleagues who have taken the trouble to report.

Great diversity of reports

Reports can relate to safety, quality, sustainability and the environment, staff, customers and suppliers, financial matters, innovation, communication and collaboration.

Your KMS must be able to handle all these variations. Because the wider the scope of your improvement plan, the greater the effect. With a broad approach, you also prevent improvements in one area from being nullified by missed opportunities in the other.

Your first steps in digitization

You've undoubtedly already found a way to make your work as a QHSE/KAM manager digital. In practice, we see a lot of string constructions with Teams locations, G: drives, Excel, Sharepoint and Power BI. Such a piece of string construction seems to work, but the opposite is true. Such a system does not work for you, it works against you. You should keep such a system up and running, but such a system won't help keep you up and running. A piece of string construction ensures that you are very busy operationally, but that you are not making any headway on the main lines.

What exactly is the power of a digital KMS/QMS?

Compare Quality Management with Finance. Do they work at Finance with an accounting program such as Exact, Afas, Snelstart or MoneyBird? Or do they still book journal entries there in Excel? Accounting software takes a lot of manual work and creates real-time insight into everything you want to know financially. It works the same way with quality management.

How do notifications work in your ISO2HANDLE KMS

Let's take our much-praised Kavi form as an example. KAVI stands for Complaint, Deviation, Point of Improvement or Incident. That one form is suitable for processing all these types of reports. That's because it's conditionally arranged.

Conditional means that, while filling out, the form adapts to the function it has. If you select at the top of the form that it is a Complaint, the form will serve relevant questions about that complaint. But if you select Incident, it becomes an incident form. The advantage is that you only need one form for 90% of the reports that occur in your organization. You can easily make that form available to your colleagues via the ISO2HANDLE app or by embedding it into your Sharepoint (or other software or apps you use).

You can provide the incoming notifications with automatic follow-up and workflows. A complaint form is automatically routed by the system to a therapist other than an incident form. In addition, you can set up an automatic first root cause analysis for each notification type. With that RCA, you can fine-tune the routing of your message. Physical security incidents thus land elsewhere than security breaches. And all without your intervention.

You can then automatically stimulate and monitor workflows linked to notifications. You can stimulate by letting the system send automatic notifications to therapists. An automatic notification, for example, that a new notification must be picked up. And an automatic notification if this has not happened within a certain period of time. You only have to set up that automation once. After that, you don't have to bother with colleagues yourself. That's also nice sometimes, isn't it?

Your notification overview shows you exactly which reports have been picked up and completed and which are left behind. You can zoom in to each report to see what it's about and who the therapist is. If you find it necessary, you can manually intervene where there is no movement. From now on, you will only focus on everything that threatens to go out of line. This saves you a lot of work and ensures that you really empower as a QHSE/KAM manager.

In your quality dashboard, you'll find the visual representation of all the metrics you care about. Some of these are your KPIs, but you can see and analyze your detailed information about reports and follow-up effectiveness there with the same ease. This is perfect and, above all, real-time information for you and your management team.
